Estimating Service Terms

Version 1 · 3 November 2026

These terms apply to the estimating services provided by TakeoffAI (ABN 97 395 522 316) (“TakeoffAI”, “we”, “us”): budget estimates, tender estimates, won-job packs and memberships. They sit alongside our general Terms of Service for the TakeoffAI software. If the two conflict, these terms apply to estimating services.

1. Agreeing to these terms

You agree to these terms when you tick the box on our job or setup form, pay for a job or membership, or confirm a job with us by email or text after we’ve sent you a link to these terms.

2. What we do

For each job we agree a scope with you in writing: a budget estimate or a full tender estimate. Depending on the scope, we prepare a takeoff of quantities, price it using the rates, pricing and margin you give us (or that we agree with you), request supplier quotes, and prepare a draft tender letter with an assumptions list. We aim to send RFIs early, price allowances for unclear items rather than excluding them, and show site-condition loadings or assumptions as their own lines.

3. What you do

  • Give us complete, current drawings, specifications, addenda and your deadline.
  • Give us your rates, margin and price files, and tell us if they change.
  • Tell us promptly about addenda or changes to the job.
  • Review every estimate before you use it. You decide the final price, margin and whether to submit. You submit under your own name, and you are responsible for your tender, your quote and any contract you enter.

4. Estimates are professional drafts

Our estimates are based on the documents and information you provide, and the assumptions and allowances we list. We take reasonable care, and every takeoff counted by our software is checked by a person. But we don’t guarantee that you will win a job, or that an estimate will match the actual cost of doing the work. We don’t provide design, engineering or compliance certification, and our work doesn’t replace your own judgement as a licensed contractor.

5. Our deadline guarantee

When you book a job, we agree a delivery deadline with you in writing. We aim to deliver at least 48 hours before tender close. If we miss the agreed deadline, you don’t pay for that job, or we refund its fee. This applies if the drawings, documents and rates were with us by the agreed start time. If you send major changes, addenda or late information, we’ll agree a new deadline. The refund is limited to that job’s fee.

6. “Don’t send it, don’t pay”

If you’re not happy with an estimate and don’t use it (you don’t submit it or send it to anyone), tell us within 7 days of delivery and why, and we’ll waive or refund that job’s fee. This doesn’t apply to an estimate you have used.

7. Fees and payment

  • We confirm the price before we start. Prices follow our published price brackets. If the drawings point to a different bracket from the one you chose, we’ll confirm the price with you before starting.
  • Unless we agree otherwise, one-off jobs are paid up front.
  • Minor addenda are re-priced at no charge. Major changes are quoted before we start them.
  • Prices exclude GST where GST applies.

8. Memberships

  • Each plan includes a number of jobs a month, set out in your membership confirmation. Unused jobs roll over for one month, then expire. Extra jobs are charged at the member rate.
  • Memberships are billed in advance, monthly or yearly, as set out in your membership confirmation.
  • Each plan has a minimum term. Some plans include a setup fee, and on plans where the setup fee is waived, it becomes payable if the membership is cancelled before the end of its minimum term. The amounts and terms for your plan are shown when you sign up.
  • After the minimum term, you can cancel with 30 days’ notice.
  • If a payment fails, we’ll pause work until it’s paid.
  • Founding member pricing is locked for 12 months from the start of the membership.

9. Confidentiality and your information

Your drawings, rates and pricing are confidential. We use them only to do your work, and we never share or sell them. Anyone working on your jobs for us is bound by confidentiality. We may use drawings and our corrections, with your business details removed, to improve TakeoffAI’s software. We’ll only name you or use your job in a case study with your permission. Our Privacy Policy also applies.

10. Liability

Nothing in these terms excludes or limits any right you have under the Australian Consumer Law that can’t be excluded or limited. Where the law allows, our liability for failing to meet a consumer guarantee is limited to supplying the service again, or paying the cost of having it supplied again. Otherwise, to the extent the law allows, our total liability for a job is limited to the fee you paid for that job. We are not liable for indirect or consequential loss, lost profit, or lost tenders, or for losses that arise from the price you choose to submit.

11. Changes to these terms

We may update these terms. Updates apply to jobs booked after the update. For memberships, we’ll give you 30 days’ notice of any material change, and you may cancel without penalty before it takes effect.

12. General

These terms are governed by the laws of Victoria, Australia. Questions: info@takeoffai.com.au.
